1. Door Locking Policy (for the safety and security of our guests, employees and guest property):
a. Our front main door and 2 parking lot doors have codes for entrance. They are unlocked during the day, but after hours, your group will receive a code that will allow access to the main building.
b. The Ministry Centre doors will be unlocked and locked for you daily. You will receive a key that will also give you access if needed.
c. If you are the last to leave a space, please be sure lights are turned off (in ministry centre, gym and lounge).
d. Please DO NOT prop doors open for any reason.
2. Meals times are 8:30 am; 12:30 pm & 5:30 pm. Sunday breakfast is 8:15 am.
a. Due to food handling regulations, we can only keep food out for 45 minutes. Please make sure your entire group arrives on time for meals. We ask for you to make your way out of the dining room after one hour so we can prepare for the next meal. We do not accommodate alternative mealtimes.
b. We are happy to accommodate gluten-free and dairy-free allergies. Please note that although precautions are taken, we cannot guarantee against cross-contamination. We do not accommodate food preferences or specific diets. If a guest has a severe allergy, please reach out to us ahead of time and we will gladly connect you with our Food Services Manager to review the menu and explore appropriate options.
c. Please do not remove food or dishes from the dining room. Paper cups are provided for hot drinks if needed.
d. Please place your dishes and garbage in the dish trolleys in the dining room as you exit.
e. Most of our kitchen and dining room staff serve on a volunteer basis and receive a small honorarium. Please consider leaving a gratuity to show your appreciation for their hard work. We can place baskets on the tables, or a gratuity can be added to your invoice.
3. Health & Safety Policy:
a. Please note that all individuals coming to your retreat must have registered with you. In case of emergency, we must always know the number of guests on the property, and we would ask that you provide us with a list of names and room assignments before your arrival. We ask guests to also either wear name tags or wristbands (provided) to help us easily identify them.
b. For the health and safety of our guests and staff, we kindly ask that if anyone is ill and has exhibited the following symptoms in the last 24 hours (fever, vomiting, diarrhea), they do not attend your event. If symptoms occur while visiting, we must be informed immediately, and they must isolate for at least 24 hours after final symptoms or if possible, go home. They will be refunded for the remaining balance of their stay.
4. Guest Services is available from 9:00 am to 4:00 pm Monday to Saturday in the office or by calling 519-824-2571. If you have an emergency after hours, we will provide you with an emergency contact number upon arrival.
5. Please avoid parking on the grass and be aware that there is a second parking lot past the first one that you are welcome to use and provides direct access to the inn. Anyone in dorms will find this parking lot gives convenient access to their rooms.
6. Check-In. If your retreat begins in the evening, guests are welcome to arrive anytime after 4:00 pm. If arrival will be after 7:00 pm, we will arrange for you to pick up your keys, as our office will be closed. If your retreat begins with lunch, guests are welcome to arrive anytime after 9:00 am. Please note that meeting spaces will be ready, but guest rooms may not be available until 4:00 pm. Please speak to guest services if you require an earlier arrival time for set up.
7. Check-Out. We ask guests to vacate their rooms by 9:30 am the day of their departure. Please note check-out times from the meeting spaces/property are as follows. If your final meal is breakfast, check-out is 12:00pm, for lunch, check-out is 2:30 pm and for dinner, check-out is 7:30 pm, unless prior arrangements are made with guest services. We would also ask for your assistance in the following areas:
a. Please ensure furniture in the lounge is returned to its original place.
b. Please pack up your room and hand in your keys to your guest group leader. Guest group leaders are to return them to the office before departure.
c. Please turn lights off and turn off heat.
d. If in a cabin, please lock the doors.
e. Please be sure all windows are closed.
f. If using our linens, please place all towels in the bathtub/shower.
8. We have recently added a café in our shop called “Grounded.” Our hours are flexible. Please let us know if there are specific times that you would like to enjoy our hot beverages!
9. Please remind your group that only non-marking shoes are allowed in the gym, and no food or drinks are allowed in the gym.
10. During the winter months, we ask that no outdoor shoes be worn in the auditorium in the ministry centre.
